This Privacy Policy describes how Aerogenesis Aviation Pvt Ltd ("Aerogenesis", "we", "us", or "our"), operating as Aerogenesis Aviation Academy, collects, uses, and protects information from visitors to aerogenesis.in and individuals who enquire about our programs.

2. Information We Collect

We collect information you provide directly when you:

• Submit an enquiry form on our website
• Contact us by phone, email, or WhatsApp
• Attend a seminar or webinar hosted by Aerogenesis
• Communicate with us through any channel

Information collected includes your name, phone number, email address, city, current academic status, and program interest.

We also collect information automatically when you visit our website, including IP address, browser type, pages visited, time spent on pages, and referring URLs. This is collected through Google Analytics 4, Meta Pixel, and standard server logs.

3. How We Use Your Information

We use the information we collect to:

• Respond to your enquiries about our programs
• Send you program information, fee details, and intake schedules you have requested
• Respond to website enquiries through our HubSpot-managed phone and email follow-up
• Respond on WhatsApp when you choose that channel separately
• Send reminders and follow-up communications related to your enquiry
• Improve our website and marketing based on usage data
• Comply with legal obligations

We do not sell your personal information to any third party.

4. Cookies and Tracking Technologies

Our website uses the following tracking technologies:

Google Analytics 4 (GA4) — tracks website usage including pages visited, session duration, and user behaviour. Data is processed by Google LLC. You can opt out via Google's opt-out browser add-on.

Meta Pixel — tracks website visits and form submissions to measure the effectiveness of our Facebook and Instagram advertising. Data is processed by Meta Platforms, Inc.

Google Ads — tracks conversions from our Google Search advertising campaigns.

HubSpot — our CRM platform that processes contact data submitted through enquiry forms on our website.

OpenAI / ChatGPT Ads measurement — when you select Allow in the ChatGPT ad measurement preference panel, we load OpenAI's measurement software. It can record a successful enquiry and, through our HubSpot integration when enabled, a confirmed counselling booking, and associate these events with an eligible ad interaction using an ad-click reference and first-party cookies. OpenAI also receives technical information needed to process the measurement request. If automatic advanced matching is enabled for our advertising account, supported contact information may be normalised and hashed before being sent for matching. Hashing does not make such information anonymous.

Our website retains advertising source, campaign and click-reference information in browser session storage so it can accompany your HubSpot enquiry as submission context. OpenAI measurement is optional: declining it does not prevent you from submitting a form. We remember your OpenAI measurement preference in this browser for up to 180 days and save the current choice with your HubSpot form submission. We do not treat an enquiry as a booked appointment. The updated v4.2 panel asks for a new choice rather than reusing the earlier browser-only permission. You can change it using the ChatGPT ad measurement preferences link in the footer. Changing the browser preference stops future optional browser measurement and updates the choice on a form you subsequently submit. It does not by itself identify or update a previously submitted CRM record. To withdraw permission for future CRM booking measurement on an existing enquiry, email contact@aerogenesis.in so we can mark that contact as not consenting before any further sharing. This control applies to OpenAI measurement; it does not change your Google, Meta or HubSpot settings. You can also manage browser cookies and the providers' own privacy controls.

5. WhatsApp Communications

Website form enquiries are managed through HubSpot for phone or email follow-up. A website form submission is not a request for automated WhatsApp messages. If you choose to contact us using a WhatsApp button, we may respond to that conversation on WhatsApp. To change your communication preferences, contact contact@aerogenesis.in.

6. Data Storage and Security

Your data is stored securely in HubSpot CRM, which is hosted on servers compliant with industry-standard security practices. We retain your data for as long as necessary to provide our services and comply with legal requirements. We implement reasonable technical and organisational measures to protect your information against unauthorised access, loss, or misuse.

7. Sharing Your Information

We share your information only with:

• HubSpot — our CRM platform for contact management and follow-up
• Meta Platforms — for advertising measurement via Meta Pixel and CAPI
• Google — for analytics and advertising measurement
• OpenAI — for optional ChatGPT advertising measurement as described above
• Zapier — where configured, to support our CRM and reporting integrations

We do not share your information with flying schools, third-party agents, or any other commercial partners without your explicit consent.

8. Your Rights

You have the right to:

• Request access to the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information
• Withdraw consent for communications at any time

9. Third-Party Links
